Creating a new Event

Summary: aimed for first-time users, this article covers the main concepts around creating a new event

Accessing the Events page

To access the Events page, first, log in to your VancastVideo account at https://yourcompany.vancastvideo.com.

If you have permissions for multiple workspaces within the organization's account, you will be prompted to choose the workspace you want to work with. If you only have permissions for one workspace, you will be taken directly to the Event Management page for that workspace.

The Events Page

Once you have accessed the Events page, you will see a list of events programmed for the current week.

As in the example below, if there are no events scheduled for the current week, the page will be empty. Use the DAY, WEEK or MONTH buttons under the calendar to expand or reduce your selection

You can use the calendar to look for future or past events or use the Search prompt to search for events by name (any portion of the event name is valid) The dates that have scheduled events will appear bolded.

Creating a New Event

To create a new event, click on the New Event button

and a new Event wizard will appear:

Step 1: Give a Name and Choose a Date

In Step 1, give a name to your event and choose the scheduled Event's date. Please note that you can create events with multiple sessions that will happen over several days. In that case, click on the checkbox over the date and you'll be asked to enter a final date as well.

Click Next to move to Step 2 of the wizard.

Step 2: Choose a Page Template

In Step 2, you need to choose a Page Template. You can organize your favourite templates by clicking on the star of a template. The latest template you've starred will become the first one in the selector. Hovering the mouse pointer over a template shows some of the layouts you can have using that template.

Click Next to confirm the Template and move forward to Step 3 of the wizard:

Step 3: Choose Event Details

In Step 3, You must choose:

  •  the Event's main language. You can add secondary languages to your event later, in case you need them. The language selected here will be used for the texts of a few end-user button names and dialogues, like the ask a question button or the send a question dialogue.
  • the default session type. If you plan a live event, select Live. If you plan to upload a video to be distributed as on-demand content, choose On-demand.
  • Distribution Profile: This is an optional setting that will appear on this dialogue, only if you've previously set up more than one Distribution profile.

Click Create, and your event will be created and represented as a box on your Events page as shown in the image below.

To enter the Event's management page to continue with the configuration, operation and control of your event you have to click anywhere on the box.
